Access

The Access Management page is a dedicated area where you control all roles and subscription templates for your organization. It is separate from User Management and focuses specifically on defining what users can do (roles) and what resources they can use (subscriptions).

Access Management contains two main tabs:

  • Roles: Define and manage permission sets for users and groups. Roles determine what actions users are allowed to perform.

  • Subscription Templates: Create and manage resource-limit templates (storage, concurrent users, verses). Subscription Templates determine the resource limits users inherit.

Roles

Roles define all platform permissions. Assigning a role determines what actions a user or group can perform.

Each role entry displays:

  • Role Name
  • Number of users assigned
  • Number of permissions enabled
  • Default role indicator
  • A ⋯ menu for editing or deleting the role

Create a Role

  1. Click the Create Role button.

  2. Enter a Role Name.

  3. Enable the permissions needed, such as:

    • Analytics – Allows the user to access and view the analytics dashboard of the whole platform, including statistics, usage insights, and performance charts.
    • Manage Users – Enables full control over user accounts: inviting new users, editing profiles, assigning or removing roles, managing subscriptions, and deleting accounts. (Related: User Management)
    • Create Verses – Allows creation, editing, deletion, and full management of verses in the platform. (Related: Verse Management)
    • Publish Activations – Allows the user to publish activations, making them available to others.
    • Create Activations – Grants the ability to create and edit activation content, including configuration and setup.
    • Delete Activations – Allows the user to permanently delete any activation, regardless of ownership.
    • View All Activations – Grants visibility into all activations in the system, including those created by other users. (Related: Activation Management)
    • Manage Communications – Provides access to user messages, feedback submissions, bug reports, and allows responding to them.
    • Manage Roles – Enables creation, editing, deletion, and permission configuration of roles.
    • Manage Landings – Allows creation, editing, deletion, and publishing of landing pages across the platform. (Related: Landing Management)
    • Manage Archives – Grants access to advanced archival tools, including browsing archived content and managing archived items. (Related: Archive App)
  4. Click Create.

You can edit or delete a role at any time.
If you delete a role, all users assigned to it will automatically be moved to the default role.

Subscription Templates

Subscription templates define platform usage limits, including:

  • Storage limit (MB).
  • Concurrent Users in verses (CCU).
  • Number of Verses that users can publish.

These templates can be assigned to both users and groups.

Each template displays:

  • Template name.
  • How many users/groups are using it.
  • Assigned limits.
  • A ⋯ menu for viewing details, editing, or deleting.

Create a Subscription Template

  1. Click Create Template.

  2. Enter a Name and optional Description.

  3. Set the limits:

    • Max CCU – The maximum number of concurrent users allowed inside the user’s verses at the same time.
    • Storage (MB) – The total amount of storage the user can use for uploading assets, such as images, 3D models, audio, and other files.
    • Verses – The total number of verses the user is allowed to publish.
  4. Click Create.

tip

Set every field to 0 if you want the template to give the user unlimited access.

View Template Details

Selecting View Details opens a detailed breakdown showing:

  • Users using the template (with Start/End dates).
  • Groups using the template.
  • Products associated with the template.

Each entry includes a ⋯ menu allowing you to:

  • Remove from Template – Immediately unassign the template

Delete a Template

  1. Open the template’s ⋯ menu.
  2. Select Delete.
  3. Confirm the deletion.

Deleting a template removes it from the platform but does not delete users who were assigned to it.
